Time Attendance: A Guide for Employees

Hey there! Tracking your time and attendance is crucial for accurate payroll and ensuring you get paid for the hours you’ve worked. Worklio makes it easy to manage and view your time records, so here’s a quick guide to help you navigate the Time Attendance feature.

Why Time Attendance Matters

The time attendance feature aims to help employees and their employers accurately track work hours, breaks, and overtime. It simplifies the process of logging hours for all employees. It is essential that you use the time attendance feature for the following reasons:

  • Accurate Pay: Ensures your hours are correctly logged for accurate pay.
  • Tracking Work Hours: Helps you keep track of overtime, breaks, and regular work hours.
  • Stay Compliant: Ensures adherence to company policies and labor laws regarding time worked.

How to Access Time Attendance

After inputting your login credentials, you can find the time attendance feature on the left hand side of the menu tab. Also, you can find the feature on your dashboard.

Using Time Attendance

The Time Attendance page has series of elements that help you manage the feature. On the main page, you can do the following:

Clocking In and Out

  1. Clock In: When you start your shift, simply click the Start Work button to record the start of your workday. Ensure the system confirms your clock-in time.
  2. Clock Out: At the end of your shift, hit Leave Work to log your hours. If you take a break, you can pause your work hours by clicking the Stop Working button and clock back in when you’re ready to resume work.
  3. Review Clocked Time: You can review your time attendance detail for the day. These details include your start of work time, your end of work time, how many hours you have used, time off accrued for clocked hours, number of breaks, your break time, and the required breaks as specified. On this tab, the system also notifies you when it is time for you to take your requrired break for the day.
  4. Work Location: The time book manager directly beneath your clocking in and out button allows to to make changes to the work location that you are working from for the day. The options that are displayed here are preset, so you cannot add new work location from here.

Events Timeline

This tab gives a visual representation of the timeline of events for the current day for which the employee records their attendance. It shows the start work time, break times, overtime time, and your current sequence.

Just below this, there is a list of reported events for the current day as well. You can manually add new events here, but you can also edit and delete events from this timeline. When you click on each of the recorded events, a modal opens to show you the details of that event.

Current Pay Period

This tab shows the details of yoiur time attendance for your current pay period. It shows the following details:

  • Number of working hours
  • Number of break hours
  • Number of overtime hours
  • Number of time off hours
  • Paid hours
  • Unpaid hours There are two functional buttons on this tab. The change button that allows you to change the current displaying pay period details and the View History button that shows you a more comprehensive detail for the pay period. Here, you see the history of your daily time attendance for the pay period. You can Lock All Events to make them uneditable and you can also make edits and request edits approval from your manager.

Editing and Submitting Time Attendance

From the View History page, you can also click on each individual days to see a more complete details and make edits. The individual days page shows you a sequence and timeline of how events took place on the day of question, whcih you can then edit by adding new events, editing the current events, or deleting the current events.

  1. Requesting Edits: If you notice any mistakes in your time entries (e.g., forgot to clock in or out), you can request to make changes. Navigate to the specific entry, click on the Edit icon. This brings up a form which you populate your edits with and provide a reason for the change. Your manager or HR will review and approve the edit.

Tracking Overtime and Breaks

  1. Overtime: Any hours worked beyond your regular shift should be tracked under the Overtime section. Check your timesheet to ensure any overtime hours are logged correctly and accounted for.
  2. Breaks: You can also track your breaks (e.g., lunch breaks). Make sure you clock in and out of your breaks to avoid any issues with your time record. Also, you will receive notifications when it is time for your required breaks.

Tips for Managing Your Time Attendance

  • Double-Check Entries: Always review your timesheet before submitting it to ensure all hours are accurate.
  • Communicate with your manager: If there are any issues or errors with your time records, don’t hesitate to reach out to your manager or the HR.
